Anti Hold-up Cash System

1. A small cash drop facility should be fitted at each point of sale for the deposit of surplus notes at regular intervals keeping till contents uniform and reducing the likelihood of impulse theft.

Another method of keeping till contents at float level is a suction system where the cash is transported inside a deposit capsule directly into your main cash safe by means of a suction tube. These systems are more costly and the aperture into your main safe may result in a lower insurance rating from your insurance company but some of our customers prefer this method.

2. Where deposit units are used cash from these units should be removed when each unit has reached its pre-determined limit making pick up times irregular by virtue of their operation. Cash when lifted from each unit should then be placed in a tamper evident bag and deposited directly into the cash office main safe. All of our units are fitted and constructed to a very high standard so once capacity isn't an issue these units can be emptied after hours if that is your preference.

3. The cash office main safe should always be fitted with a time lock and an internal Anti hold-up compartment.

Each morning when the previous night deposits are checked and verified they should then be placed in the Anti hold-up unit collection. The cash office should always be in full lock down during the time in which lodgements are being verified and dropped for collection. No access to the cash office should ever be entertained until this process is complete.

Access to the Anti hold-up unit is delayed by a 15 min time delay lock, which can only be overridden by a special key, held by your cash pick-up company. This measure will allow pick up times to also be varied and ensures cash is under time delay protection until the very moment of pick up. As soon as cash pick up is complete the staff member responsible should place the safe on time lock for the next day and lock the safe. This measure will make an over night hold-up impossible as the key will effectively be useless until the time lock has disengaged.

4. Doors leading to the cash office area should be fitted with a magnetic interlocking system. This means that if the cash office door is open any doors leading to it will be held shut. This is a cheap a very effective way to restrict access and to create a two tier access system making any hold up very difficult. It can also be used to lock down the area during the checking of cash and lodgements by engaging all locks electronically. Our exclusive XM3 network capable locking system can even identify and log times of persons entering or leaving the cash office.

Cash and coin amounts should never be held in the same safe.

An overnight cash safe is meant for the secure holding of cash amount under time lock and time delay access lock prior to collection by your cash handling company. Coin needs to accessible during business hours so consequently the demands of coin accessibility and cash security are incompatible.

Procedure for handling and reconciliation of coin:

Coin should be held in a dedicated coin safe insurance rated for the maximum amount of coin it will be holding. This safe should only be accessible to a senior manager and ideally should be under a time delay of around 15 mins during the day and under time lock at night. Coin from this safe should be used to stock Coin Stations located at the points of sale. These units are designed to hold small amounts of coin i.e. € 500 to € 1000 allowing the cash point to "buy" it's coin as it's needed from it's own coin station. An internal deposit facility inside the coin station accepts notes and keeps them locked away until reconciliation. The balance of cash in the coin station is always maintained and irregularities are consequently easily spotted at change of cash point operator.

Points to remember:
  • Never allow cash to build up in till's
  • Always place your safes on time lock after hours.
  • Never allow coin in your main cash safe
  • Bank lodgements should be inside your Anti hold-up unit if the main safes door is open.
  • As soon a collection of Bank lodgements has occurred put the main cash safe on time lock.
  • As this system is flexible avoid making up your Bank lodgements at the same time each day.
